DIRECTOR, PROJECT MANAGEMENT OFFICE

THE OPPORTUNITY:

Reporting to the Executive Vice-President Information Technology, the Director of the Project Management Office (PMO) will be responsible for maintenance and evolution of the PMO at Pollard Banknote. The PMO will manage a multitude of projects related to our Manufacturing, Engineering, Game Management & Design, Digital Solutions, and Information Technology areas from inception to completion. The Director will guide the PMO governance meetings, tracking cross functional projects, flagging issues and highlighting project prioritization.

As an experienced project management professional and leader, the incumbent will actively manage a portfolio of projects, while providing mentorship and advice to PM professionals and will build on a solid reputation of project delivery, professional development and continuous improvement of PMO practices, standards and deliverables.

KEY RESPONSIBILITIES:
  • Lead the evolution and maturation of the PMO ensuring best practices and standards are established and upheld
  • Oversee all aspects of project delivery including scope, risk, changes, issues, scheduling, cost, quality and communication
  • Effective oversight of multiple concurrent projects from inception to completion, involving senior business customers, IT Services and vendors
  • Provide guidance and leadership to the Project Management methodology and, Systems Development Lifecycle (SDLC), Agile methodologies, and Organizational Change Management methodologies, tools, and techniques
  • Assist and mentor project management professionals, as needed, to successfully deliver assigned projects as well as those acting as a project manager within the functional areas
  • Provide positive and effective leadership to the team by encouraging employee recognition, career growth and development and a respectful work environment
  • Full people management responsibilities including staffing, performance reviews, career development planning and employee relations
  • Managing key strategic projects
  • Contributing to the project management, SDLC, and creation of project plans for RFP submissions
QUALIFICATIONS:
  • Post-secondary education combined with project management, (e.g. PMP designation) and active participation in the Project Management Institute, will be considered assets
  • Agile certifications (Certified Scrum Master (CSM), PMI-Agile Certified Practitioner (PMI-ACP)) and Organizational Change Management (OCM) methods like PROSCI-ADKAR, will be considered assets
  • Experience as a senior project manager with proven program management experience in an environment characterized by business initiatives, manufacturing and/or engineering projects, system integration, packaged solution implementations, infrastructure deployment and custom software development projects
  • Proficiency in the use of project management tools, industry best practices and processes (e.g. Microsoft Project, PMBOK, Smartsheet, SharePoint)
  • Strong leadership skills with the ability to effectively coach and mentor
  • Demonstrated track record of delivering large/complex solutions on-time and on-budget that meet stakeholders’ quality expectations
  • Experience creating and delivering polished presentations on complex issues to senior executives
  • Well-developed interpersonal skills with proven ability to build effective relationships with sponsors and key project stakeholders and influence without direct authority

DIGITAL ASSET MANAGEMENT – ASSISTANT

THE OPPORTUNITY:

We’re looking for a highly organized, detail-oriented professional to join our Pre-Press Department as a Digital Asset Management Assistant for a 6-month term. In this role, you will be responsible for creating PDF files of completed scratch ticket artwork following specific guidelines, uploading, filing and key-wording the art files into the DAM system and managing and maintaining the ticket artwork database.

KEY RESPONSIBILITIES:
  • Create and format PDF files of scratch ticket art using Adobe Creative Cloud applications to be used in our DAM system
  • Upload and properly catalogue and file the ticket artwork in the DAM system
  • Apply relevant keywords to the art files for search optimization
  • Maintain and verify accurate file management lists of documents within the DAM system
QUALIFICATIONS:
  • Post-Secondary education within the fields of Graphics, Design or Multimedia and/or 2+ years’ experience in the pre-press or graphic design industry

DIGITAL MARKETING SPECIALIST

BUSINESS PROCESS SPECIALIST – FULL TIME PERMANENT

THE OPPORTUNITY:

Pollard Banknote is growing and we have an exciting new opportunity in the Sales & Customer Development department. This new position has been created to ensure departmental employees are trained and are performing their jobs using established standard operating procedures (SOPs), processes, and practices of the department. The Business Process Specialist will serve as a Subject Matter Expert (SME) in the department for the Enterprise Resource Planning (ERP) system (DiMS), as well as for other processes, procedures and practices of the department. Additionally, this role will focus on evaluating, planning, and implementing improvements in business processes and practices and creating SOPs for processes where documentation doesn’t exist.

KEY RESPONSIBILITIES:
  • Collaborate with management in own department, other departments and the ERP team to maintain a full understanding of existing DiMS processes to ensure best practices are in place and followed and to leverage DiMS to create improvements and efficiencies over time
  • Ensure Standard Operating Procedures are documented and proposed changes are tested, and approved changes are maintained and communicated to the department and others as necessary
  • Ensure employees in the department are fully trained, are performing their work in compliance with established procedures, and are producing consistent, accurate work
  • Facilitate team building, group facilitation of training, collaboration with other departments, compile and track data, and prepare training materials to drive world class performance outcomes within and resulting from the department
QUALIFICATIONS:
  • Post-secondary education preferred such as a University undergraduate degree in Business Administration, or a suitable combination of related experience and education
  • Minimum 3 years’ experience in a role that required the demonstrated use of strong analytical skills, superior oral communication skills, the ability to work closely with others and influence outcomes, demonstrated ability to establish and analyze metrics to achieve goals

GAME PLANNER

THE OPPORTUNITY:

We’re looking for a highly organized, detail-oriented individual to join our Game Planning Team! As a Game Planner, you will oversee the development of all technical printing and manufacturing aspects of the Lottery’s games—from initial design concept through to the finished product. In addition, this role ensures that all designs, specifications, layouts and communications are consistent from department to department as the ticket moves through the various stages of the production process and that quality is maintained throughout.

KEY RESPONSIBILITIES:
  • Review incoming ticket designs and ensure visual design is compatible with manufacturing criteria (printability) and the production plan meets security requirements
  • Analyze game requirements ensuring the most efficient and cost-effective production methods are considered to produce tickets
  • Effectively facilitate the flow of games and art between all internal groups and in some cases customers, ensuring all information is communicated accurately
  • Ensure accurate post-printing specifications are entered into online specification system
  • Communicate issues regarding production from Manufacturing to Marketing and work with all parties to come to a resolution
  • Ensure production schedule timelines are met in accordance to PBL print quality standards and customer requirements
  • Create various forms of documentation to produce tickets such as wireframes, customer design templates and layouts
QUALIFICATIONS:
  • Post-Secondary education; within the field of Graphic Arts Design or Graphic and Print Technician would be preferred
  • Minimum 2 years’ design, print and/or pre-press industry experience
  • Strong time management and organization skills, with the ability to effectively manage projects

SALES TEAM ASSISTANT

THE OPPORTUNITY

We are a growing company and this is an exciting time to join Pollard. We’re looking for an enthusiastic, detail oriented individual to join our Sales & Customer Development department. Working closely with the Account Coordinators, Account Executives and others, the Sales Team Assistant will ensure the timely, complete and accurate entry of data into the DiMs (ERP) system to generate customer specifications used to produce customer products.   • Ensures the timely, complete and accurate entry of data into the DiMs ERP system
  • Maintains accuracy, timeliness, and completeness of all assigned project processes, information and documentation, including document control, task lists, management reports and project status reports to meet departmental and ERP standards
  • Assists as a DiMs resource for the department to ensure accurate and consistent processes are followed
  • Makes sure lottery ticket game orders are kept on schedule
QUALIFICATIONS:
  • Grade 12 education or equivalent is required. Post-secondary education an asset
  • 6 months – 3 years’ previous clerical or administrative experience or a combination of related post-secondary education and some experience
